Description

The Bilingual K-8 Front Office Receptionist performs daily operations as the first point of contact for Pinnacle Charter School K-8 building. This position provides outstanding customer service and clear communication for all students, parents, staff, and community members and is able to communicate (verbally and in writing) in English and Spanish.

 

 

Reporting Relationships:

Reports to: K-8 Front Office Manager.

Direct Reports: This is a non-supervisory position.

 

 

Compensation:

This is a full-time, 12-month position. $18.01 - $28.28 per hour depending on experience. See a detailed outline of benefits and additional compensation at the bottom of the job description.

 

Essential Functions:

  • Communicate and foster positive relationships with students, parents, peers, and families.
  • Create a pleasant, helpful atmosphere for students, parents, staff, and visitors.
  • Provide visitors with assistance and direct them to appropriate resources.
  • Answer the telephone, screen calls, and direct calls to appropriate staff.
  • Respond to inquiries via email and telephone.
  • Return voicemails.
  • Interpretation for parent meetings and phone calls.
  • Written translation.
  • Monitor and support surveillance cameras.
  • Ensure phone lines remain as clear as possible for emergency calls.
  • Ensure that information is maintained confidential.
  • Promote positive relations with parents and the general public concerning the school and the district.
  • Maintain regular student attendance records.
  • Enter all student attendance records into Infinite Campus.
  • Respond to inquiries from students, teachers, and parents regarding absence rules and absences.
  • Admit late students, maintain records of tardiness, and issue tardy passes to students.
  • Maintain all statements regarding doctors’ appointments, excused absences, etc.
  • Oversee student sign-in/sign-out process and maintain records of student absence due to appointments.
  • Complete special projects as assigned.
  • Receive and distribute mail/deliveries daily and manage outgoing mail.
  • Ensure reception area is tidy and presentable, with all necessary stationery and materials.
  • Ensure main entrance security.
  • Assist with emergency protocols and procedures.
  • Ensure front desk is continually covered during posted office hours.
  • Operate standard office equipment (i.e. telephone, copy, fax, scanner, etc.).
  • Be present and engage in Pinnacle functions and organizations to build strong relationships with students, parents, peers, and the community.
  • Regular and timely attendance.
  • Perform other duties as assigned.

 

General Abilities, Knowledge, Qualifications, and Skills:

  • High School Diploma or equivalent.
  • Bilingual in English/Spanish required.
  • Solid experience in customer service.
  • Solid knowledge and skills in general office and office equipment.
  • Demonstrates success working in a busy office environment with multiple competing demands.
  • Proficiency in basic accounting and math functions (student/parent payments, batches).
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, etc.).
  • Proficient with Google (email, docs, forms, etc.).
  • Experience with Adobe.
  • Ability to work independently with minimal supervision.
  • Ability to complete all tasks assigned and meet deadlines.
  • Ability to remain calm and de-escalate tense situations.
  • Flexibility and creativity.
  • Demonstrated ability to work with diverse populations.
  • Ability to collaborate and communicate while appreciating the diverse background of students, parents, peers, and the community.
  • Ability to recognize the importance of safety in the workplace, follow safety rules, practice safe work habits, utilize appropriate safety equipment and report unsafe conditions to the appropriate administrator.

Working Conditions:

Exposure/Noise Level: Occasional exposure to airborne particles, fumes, and outdoor weather conditions.  Normal school environment with moderate to high noise level.

Mental Functions: Analyze, collaboration, communicate, compare, compilation of data, compute, coordinate, copy, direct, evaluate, instruct, interpersonal skills, present, report, synthesize.

Physical Activities: Office environment including computer interface. Bend, reach, sit, stand, stoop, talk, walk, and heavy person-to-person interaction with students, parents, peers, and community members.

Weight and Force Demands: Moderate physical activity (lifting, pulling, and pushing up to 25 pounds).

Other: May be required to work outside of normal working hours and travel for work related functions.

Note: In light of the COVID-19 pandemic, during the 2020-2021 school year, school staff are critical employees and are expected to perform work on campus as required.
