Assistant Transportation Manager
Description
Pinnacle Charter Schools is seeking a dedicated and organized individual to serve as an Assistant Transportation Manager. This position is to provide essential support to our Transportation Manager and ensure the smooth operation of our school bus fleet. The successful candidate will manage scheduling, assist with driver concerns, maintain records, perform basic bus repairs, and act as a substitute bus driver when needed. This role will also ensure continuity during any absence of the Transportation Manager.

Compensation
This is a full-time, 12-month position with a salary range of $58,656-$79,185.60 annually. A detailed outline of benefits and additional compensation is provided at the end of the job description.
Essential Duties and Responsibilities
- Driver and Trip Scheduling: Create and manage the weekly schedule for drivers, field trips, athletic events, and other transportation needs.
- Invoicing: Prepare, track, and send weekly invoices to other schools for field trip services provided by Pinnacle.
- Mileage and Records Management: Maintain detailed records of mileage for all field trips and buses to ensure compliance with CDE 40 reporting requirements.
- Expense Tracking: Record gas and work receipts, ensuring all documentation is accurate and up to date.
- Bus Maintenance Coordination: Order bus parts and supplies, and schedule repairs for buses that break down, ensuring minimal disruption to transportation services.
- Basic Bus Repairs: Perform minor repairs and maintenance on buses, such as replacing windshield wipers, checking fluids, and troubleshooting basic mechanical issues.
- Behavior Management Reporting: Track and report daily student bus misconduct to the appropriate authorities.
- Radio Dispatch: Provide dispatch services for routes, communicating with drivers throughout their shifts.
- Driver Concerns: Address any concerns or issues raised by drivers, ensuring a supportive and efficient working environment.
- Coverage Management: Find replacements and coverage for drivers who call out or are unable to complete their routes or trips.
- Substitute Bus Driver: Act as a substitute bus driver when necessary, ensuring that routes, field trips, and other transportation needs are covered in the absence of regular drivers.
- CDE-40 Reporting: Complete the CDE-40 reports, ensuring accuracy in tracking mileage and transportation services to meet state compliance requirements.
- Purchase Orders and Invoices: Enter purchase orders (POs) and invoices into the accounting system, and work closely with accounts payable to ensure timely and accurate payment processing.
- Hiring: Support with the hiring of new transportation team members
Qualifications:
- A valid Commercial Driver’s License (CDL) is required.
- S&P endorsements on the CDL are required for this position. Training will be provided if the candidate does not yet have these endorsements.
- Ability to perform basic mechanical work on buses (e.g., replacing windshield wipers, checking fluids, troubleshooting minor issues).
- Previous experience in transportation management or school bus operations is highly desirable.
- Strong organizational skills with the ability to manage schedules, records, and logistics.
- Excellent communication skills, especially in managing driver interactions and dispatch.
- Ability to stay calm under pressure and solve problems quickly, particularly in managing last-minute changes, bus breakdowns, or driving routes.
- Proficiency with office software for managing schedules, invoices, and records.
Preferred:
- Experience in dispatching or working with a fleet of school buses.
- Familiarity with CDE 40 reporting requirements and transportation invoicing practices.
Working Conditions:
Exposure/Noise Level: Occasional exposure to airborne particles, fumes, and outdoor weather conditions. Normal school/office environment with moderate noise level.
Mental Functions: Analyze, collaboration, communicate, compare, compilation of data, compute, coordinate, copy, direct, evaluate, instruct, interpersonal skills, present, report, synthesize.
Physical Activities: O?ce environment including computer interface. Bend, reach, sit, stand, stoop, talk, walk, and heavy person-to-person interaction with students, parents, peers, and community members.
Weight and Force Demands: Moderate physical activity (lifting, pulling, and pushing up to 25 pounds).
Other: May be required to work outside of normal working hours and travel for work-related functions.
